How to Create a QR Code for Your Business Card

A business card has roughly two seconds to make an impression. In that brief window, a QR code can do what printed text alone cannot: transfer your complete contact information directly into someone's phone with zero friction. No squinting at tiny type, no manual entry errors, no lost cards at the bottom of a bag. This guide explains exactly what to encode, how to design the code for a business card, and how to print it so it scans perfectly every time.

Why Add a QR Code to Your Business Card?

The fundamental problem with traditional business cards is the gap between receiving the card and actually using the information on it. When a phone scans a QR code containing vCard data, it opens the contacts app with all fields pre-filled: name, phone, email, organization, title, address, website, and even a photo URL. The user taps "Save" and you are in their contacts.

The vCard format supports extensive fields, but for a business card QR code, keep it focused. Include your full name, primary phone number, professional email, company name, job title, and website. Adding a physical address is optional and increases the data size, which makes the QR code more complex (more modules, harder to scan at small sizes). URL to a Digital Profile

Instead of encoding contact fields directly, some professionals encode a URL that links to a personal landing page, a LinkedIn profile, or a digital business card service. The advantage is that you can update the page content without changing the QR code. The disadvantage is that the recipient must have an internet connection to access it, and they get a webpage rather than a native contact save prompt.

This approach works well when your primary goal is to drive people to a portfolio or a page with links to multiple platforms. It is less ideal when the priority is getting your phone number and email into their contacts quickly.

LinkedIn Profile URL

For professionals who do most of their networking on LinkedIn, encoding your profile URL is the simplest option. The code is small because the URL is short, and the recipient lands directly on your profile where they can connect. The limitation is that it requires the LinkedIn app or a browser, and it does not save your contact details to their phone.

Design Tips for Business Card QR Codes

Size Matters

The QR code on a business card needs to be large enough to scan reliably but small enough to leave room for your other information. The sweet spot is between 20mm and 25mm (roughly 0.8 to 1 inch) on each side. Anything smaller risks scan failures, especially under imperfect lighting or if the card is slightly worn. If your card design allows it, go larger. A 30mm code scans faster and more consistently.

Maintain Contrast

The QR code must have strong contrast against the card background. Dark modules on a white or light card is the safest combination. If your card has a dark background, you can place the QR code inside a white rectangle that acts as a local background. Avoid placing the code directly on a dark card with white modules, as some older scanners struggle with inverted codes.

Keep the Quiet Zone

The quiet zone is the blank border around the QR code that helps scanners identify where the code begins. You need at least four module-widths of blank space on all sides. Do not let other design elements, text, or the card edge encroach on this space.

Color and Branding

You can tint the QR code modules to match your brand color, as long as the color is sufficiently dark against the background. Navy blue, dark green, or deep maroon on white all work well. Avoid yellow, light gray, or pastel modules, they do not provide enough contrast. If you add a logo to the center of the code, keep it under 15 to 20 percent of the code area and use the highest error correction level to compensate for the covered modules.

Placement on the Card

The back of the card is the most common placement. This keeps the front clean and professional while dedicating the back to the QR code with a brief call to action such as "Scan to save my contact info" or "Scan to connect." The call to action is important because not everyone will assume the code contains contact information; it could link to anything.

Some designs place the QR code on the front, typically in a lower corner. This works when the card layout is minimal and the code is part of the overall design aesthetic. The risk is visual clutter, so balance is key. Whichever side you choose, ensure the code is not placed where a thumb naturally holds the card, as covering even a portion of the code prevents scanning.

Printing Considerations

File Format

Always provide the QR code to your printer as a vector file, either SVG or PDF. Vector files scale to any print resolution without pixelation. A raster image like PNG can work if it is high resolution (at least 300 DPI at the print size), but vector is the safer choice. Paper Stock

Matte and uncoated finishes are ideal for QR codes because they do not produce reflections that interfere with scanning. If your card uses a glossy or UV-coated finish, consider leaving the QR code area uncoated or using a spot matte varnish over it. Metallic, textured, or embossed finishes over the code area are not recommended because they distort the module edges.

Printing Method

Digital printing and offset lithography both produce QR codes that scan well, as long as the resolution is sufficient and the ink is opaque. Letterpress printing, which creates a debossed impression, can work but requires testing because the dimensional effect changes how light reflects off the modules. Screen printing on non-paper materials like metal cards requires especially careful testing.

Test Before You Order

Before sending a batch order to the printer, request a proof or print a test card on a standard office printer. Scan the test card with multiple phones to confirm the data decodes correctly. Check every field in the vCard: name spelling, phone number, email address. A typo discovered after printing 500 cards is an expensive mistake.

Test under realistic conditions. Scan under office fluorescent lighting, in a dimly lit restaurant, and outdoors. Try scanning at arm's length and with the card at an angle, as these are the conditions in which business cards are actually exchanged.

Examples and Inspiration

The most effective business card QR codes share a few traits: they are appropriately sized, clearly labeled with a call to action, and they encode information that provides immediate value to the scanner. A freelance designer might encode a vCard plus a portfolio URL. A real estate agent might link to their listings page. A recruiter might encode a LinkedIn URL. The best choice is whatever makes the next step easiest for the person holding your card.
